Customize Your AI

Make your AI work the way you do. Learn the two key personalization settings โ€” saved memories and custom instructions โ€” then have the AI interview you and draft custom instructions tailored to your role.

Key settings explained
  • Saved memories: Allows Copilot to remember preferences about you over time so responses become more personalized. You can also create memories by saying, 'Remember I like concise responses.'
  • Custom instructions: A place where you tell Copilot permanent preferences about how it should respond.
Example custom instruction

You can add simple rules that make responses easier to read or match your organization's writing style.

Do not use em-dash in responses.
Let the AI write your instructions
  • Instead of guessing what to write in your custom instructions, ask the AI to interview you first.
  • The AI asks about your role, the kind of work you do, and how you like responses formatted, then writes the instructions for you.

I want to set up custom instructions for my AI. Ask me the following questions one at a time, wait for my answer before moving on, then draft custom instructions I can paste into my AI settings: 1. What is your role and what does your team do? 2. What tasks will you use AI for most often (emails, reports, summaries, analysis)? 3. How do you like responses written โ€” tone (formal, friendly, direct) and format (short bullets, tables, or full paragraphs)? 4. Is there anything the AI should always do (e.g., ask clarifying questions) or never do (e.g., use jargon or em-dashes)?

  • When running a meeting, start transcription or recording so Copilot can capture the discussion.
  • Let everyone know the meeting is being transcribed or recorded.
  • Invite or enable the AI facilitator so Copilot can generate notes, action items, and follow-up tasks.
  • After the meeting, review the generated notes and check whether decisions and owners are correct.
  • You can also download the transcript and paste it into another AI tool to create customized summaries or reports.
Tips
  • State decisions clearly during the meeting so the AI captures them accurately.
  • Use the transcript if you want to generate different summary formats for different audiences.

Practice structured prompting techniques by turning a weak prompt into a stronger one and testing the difference live.

How to prompt like a pro
  • Give a clear role: Tell the AI who it should act as, such as a trainer, analyst, or meeting assistant.
  • State the task: Be specific about what you want created, summarized, rewritten, or analyzed.
  • Add context: Include audience, purpose, tone, and any background information that matters.
  • Set constraints: Define length, format, style, and what to include or avoid.
  • Ask for structure: Request bullets, tables, steps, or sections so the output is easy to use.
